
Task Management
Concept
In a project, there will be a lot of task and sometimes, it is easy to miss out on some. Accordingly, task management is important to define tasks especially if the project starts from scratch.For instance, in project ec(h)o, it is our first time hosting an online workshop and creating an interactive storyline. It is vital to identify task early and be detailed in the description of task as it is a part of the larger scheduling of a project. Consider Task Management as a Project to-do list. Essentially, it is how workflow is efficiently organized.
Tool
Work Breakdown Structure (WBS)
It defines all the things a project needs to accomplish, organized into multiple levels, and displayed in a mind map. The purpose of this chart is to break down complex activities into smaller and more manageable constituents. One feature of WBS : it describes deliverables (Noun), not the activities necessary to get there (Verb). This tool consists of 4 main components.
1. Project Objective
It is the desired tangible result of the project which is at the top of the hierarchy.
2. Major Deliverables
Capture 100% scope

Experience
I really like this tool because it involves everyone in the team to brainstorm task that needs to be done. This WBS Chart makes sure everyone in my team is on the same page. It also helps us to organise our thoughts when we have a lot of ideas to contribute but just do not know how to incorporate it in our new concept of storyline videos.

It also help me to understand what are the thought process of my teammates and clarify doubts whenever I find that we have different interpretation of the kind of storyline we are planning to do.

Values & Challenges
Before we were introduced to the WBS chart, we were confused on how to start our storyline because everyone contributed a lot of their idea but there was nothing to guide us on how to get going. I thought by doing WBS chart, it will help us to jumpstart on writing script. However, it only help us in collating all our ideas together and making sure no one's idea is being dismissed. We were still stuck on how to start writing the script. While WBS is intended for us to define tasks , it will be more useful once we've written the script, defined the number of scenes and the theme of each scene, and included audio in our WBS Chart.

After we wrote our storyboard, we create the scene and ensure that all videos are done without the help of WBS. We used whatsapp boradcast channel which is created by our vetters to update everyone in team about the completion of the video after vetting.



Project Ec(h)o July Online Campaign Timeline

As this project involves both online campaign and online workshop and both require publicity, a separate chart is needed for online campaign to avoid confusion. However, we did not create WBS chart for online campaign because there were not a lot of tasks that were concurrently happening as compared to online workshop. Since there is only one activity happening once every 2 days on our social media, we integrate the essence of WBS into our timeline by highlighting each post/activity so as not to miss out on any.
